Who we are looking for:
Wunderman Thompson Data is seeking an Administrative Assistant & Office Manager. As an Administrative Assistant, you will support our executive team and anticipate the needs of team members to help them stay focused on their objectives by owning all administrative functions.
What you'll do:
- Team Support | Calendar management for senior executives. Submitting expense reports and book travel. Create PowerPoint presentations
- Office Management | Answer phones and monitor front door access. Responsible for daily mail pickup & distribution, and FedEx shipping. Order supplies and stock the public areas in the office as needed: conference rooms, kitchen area, printers, office supplies, etc. Manages office vendors. Maintain employee phone list. Act as point person for general office issues related to property management
- Problem Solver | Act as subject matter expert for general questions on corporate systems and software (Maconomy, Concur, etc.). On-site and off-site meeting arrangements and preparations, including consolidating presentations and ordering meals when necessary. General administrative assistance (help with mailings, copies, client requests, purchase orders, equipment repair, printing weekly management reports, etc.)
Who you are:
- Open and collaborative | Excellent written and verbal communication skills, including professional demeanor on the telephone, and when greeting and speaking to guests in the workplace. Willing to pitch in and do whatever is needed with a positive attitude.
- Self Motivated | Able to stay motivated and active through workload ebbs and flows. Enjoys autonomy and takes initiative. Ability to prioritize and work through interruptions.
- Organized | Meticulous and well-organized.
What you'll need:
- 5 years’ experience in an administrative function
- 5 years’ experience working in a Microsoft Office Suite of products including Microsoft Word, Excel, PowerPoint and Outlook.
