What will you be doing?

Some businesses will call this role a receptionist or office co-ordinator but we are much smarter than that,  we are looking for an absolute superstar to join us as our new Front of House.

This key role is the face of the company and you'll be welcoming VIP clients along with our amazing people on a daily basis.  You’ll be part of a small team providing administrative support to the agency whilst always maintaining extremely high standards.  

We want everyone that visits us to have the best experience as soon as they step foot inside the agency so we are looking for a dynamic, confident, customer service oriented individual to come and add some extra sparkle to our exciting environment.  

Primarily you will be; 

-Welcoming visitors in a warm, friendly and professional manner 

-Maintaining high standards of presentation in the reception, cafe area and throughout the agency

-Managing meeting rooms including regular spot checks and preparation

-Overseeing logistics for client meetings; including meeting room set up, AV equipment, co-ordinating catering

-Managing the meeting rooms booking system and process

-Dealing with general email and telephone enquiries 

-Maintaining stock levels of stationery and key office supplies

-Responsible for making sure visitors and comfortable and have everything they need

-Supporting Executive Assistants with ad-hoc tasks

-Being the go-to person for office queries (and acting on them or knowing who to contact)

-Taking messages and making sure they reach the correct person

-Working with the facilities team to make sure that any issues around the office are dealt with quickly 

-Keeping an eye on the look and feel of the office and actioning any improvements 

-Supporting on projects when needed 

Who are you? 

  • First class communication skills
  • Previous customer service or front of house experience
  • High attention to detail and very high standards
  • Super organised with the ability to coordinate multiple projects whilst working under pressure, and meet deadlines
  • Self starter who can work independently with minimal supervision
  • Ability to handle sensitive matters, confidentially and with discretion and good judgement 
  • A positive, friendly and chatty personality (someone that has the ability to build rapport with a variety of people instantly)
  • Previous switchboard experience and room booking system experience essential.
