Position Overview

Gain Theory is looking for an Executive Assistant who is seeking to learn more about HR and how HR operates (The position could lead to future positions in HR with Gain Theory or within WPP). This position will sit side-by-side with the Gain Theory North America (GTNA) team reporting to the CEO NA, while working very closely with the Sr Manager HR for North America. We are looking for a professional who is a consummate team player, willing to learn and driven to always find ways to make things better. This role will sit in the World Trade Center 3 building in NYC (must be able to commute to the office when needed) but will generally work from home 80%+ of the time.

 

Responsibilities

 

Administrative/Office Management/Social

  • Provide overall administrative support to the NA CEO, CFO and GTNA leadership
  • Manage general office support for GTNA (E.g. booking meetings/rooms, organizing lunches and social events, participating in social event planning)
  • Handle expense reports for CEO NA and the Global CFO
  • Manage conference room scheduling and accommodation for various GT in-person meetings
  • Coordinate travel arrangements, both international and domestic: travel itineraries, agendas, visas, passports, documentation for foreign travel, expense reports, etc. for CEO NA and CFO
  • Manage Outlook schedules to coordinate on-going meetings and functions: Board meetings, leadership team meetings, weekly conference calls, employee meetings
  • Arrange internal, client, and global meetings
  • Represent Gain Theory in WTC3 operational/office communication, processes, and organizational items

 

HR

  • Create or edit PowerPoint presentations when needed
  • Work with confidential personnel information related to new hires and employee separations
  • Liaise with WPP IT to coordinate New Hire IT equipment request for new hires and terminations
  • Assist with HR projects as needed
  • Assist with various GT people & culture initiatives
  • Organize HR events and ensure catering is planned for various meetings
  • Other HR related duties and projects as needed

 

Requirements

  • 2-5+ years of administrative experience in a corporate environment
  • Proactive, can-do attitude willing to lend support to various Gain Theory Initiatives
  • Professional seeking career within the Human Resources space longer term
  • Excellent verbal, written and interpersonal communication skills
  • Exceptional organizational skills and multi-tasking abilities with the ability to think ahead
  • Strong attention to detail
  • Ability to work overtime as needed
  • Self-starter with ability to work effectively and efficiently in unstructured, fast-paced environment
  • Demonstrated proficiency with Microsoft Word, Excel, PowerPoint, Outlook
